Supervisor, Patient Care Centers - Santa Fe, (1714)

Department: LLANO PCC
Location: Santa Fe, NM

Scheduled Shift: Monday - Friday 0800-1700 and additional hours as needed to meet patient care needs

Location: Northern New Mexico based out of Santa Fe

JOB SUMMARY:

Responsible for general operation of the Patient Care Center(s) (PCC’s) and Phlebotomist in Office (PIO’s) locations. Supervise the site and coordinate activities with other areas of the organization and with internal and external customers to ensure that quality standards are met. Perform all duties of site as needed. Able to fill any site positions as workload or staffing requires. Travel required.

ESSENTIAL FUNCTIONS:

1. Responsible for the overall supervision of multiple sites over a geographical area.

a. Ensure that appropriate interview and selection processes are established and followed in the department. Personally interview final candidates for positions and work with the Manager and Human Resources (HR) in making final selections. Complete HR staffing forms and submit to Manager and HR for final approval.

b. Oversee effective completion of quarterly Take 5’s. Work with the Manager in writing and preparing the Take 5’s and participate in conducting evaluation sessions. Regularly communicate with employees regarding their performance and counsel them as needed.

c. Monitor workflow in the site. Provide general oversight of daily activities. Ensure that personnel are scheduled in an effective and efficient way.

d. Ensure that employee timecards are reviewed and approved in an effective and timely manner.

e. Track department Quality Assurance Indicators (QA) and report in a timely manner

f. Under the direction of the Manager, oversee and conduct employee counseling and disciplinary actions as needed or appropriate. Recommend dismissal actions and work with management and HR in determining appropriate actions.

g. Ensure that appropriate staff recognition programs are in place.

h. Continually assess site staffing levels and needs. Develop staffing strategies to meet needs including scheduling strategies, requests for resources and cost justification.

i. Utilize tools such as the patient wait times and phlebotomy productivity reports to track staffing efficacy.

j. Approve PTO request forms in accordance with department policy.

k. Ensure all non-conformities are answered according to guidelines set by the Quality department.

2. Establish, maintain, and document appropriate training and competency programs to ensure that all employees are trained and understand the expectations of the positions.

3. Where applicable, ensure that all employees are trained and understand the expectations of performing the business office functions.

a. Ensure staff understand all billing aspects for placing orders.

b. Ensure staff can properly present an Advance Beneficiary Notice (ABN) and AFR’s.

c. Ensure staff is using pay-up front to collect payments.

d. Ensure monthly billing reports are reviewed with department trainer and education and development is provided to help staff lower error rates.

4. Be available to assist staff with questions and problem solving.

5. Maintain appropriate channels of communication within the site.

a. Provide information to staff regarding individual performance, job expectations, relevant information concerning workload, workflow, process and procedure changes and general information regarding the site and the organization as a whole.

b. Provide feedback and coaching to staff regarding their performance and job expectations in a timely and appropriate manner.

c. Listen effectively and with the purpose of understanding employee concerns, questions, ideas, and opinions. Actively solicit staff input and feedback.

d. Coordinate and conduct site meetings on a regular basis.

6. Ensure all staff have read policy and procedures in the electronic document system. As needed or requested, develop new procedures and special reports.

7. Participate in quality assurance programs to ensure that quality standards are met. Demonstrate ability to constantly improve quality standards. Prepare QA reports as appropriate. Lead, facilitate, and/or participate in quality programs and other process improvement teams as appropriate.

8. Develop, revise, and implement appropriate work systems to meet the needs of the organization and customers. Identify opportunities for new or improved services and work with the Manager to implement as appropriate.

9. Maintain effective communication and coordination with other sites within the organization and with contracted services.

10.Actively support and implement department procedures, policies, and strategies to support the corporate vision, values, and strategic plans.

11.Take steps to ensure that the department is in compliance with all relevant regulatory requirements. Communicate potential compliance issues to the Compliance Officer.

12.Respond to and resolve problems in an effective and timely manner to include patient, client, and provider concerns.

13.Ensure excellent customer service is provided.

14.Maintain/oversee inventory, i.e., supply ordering/monitoring.

15.Create and maintain a positive workplace culture, which includes fostering teamwork.

16.Performs all duties of department as needed. Able to fill any department positions as workload or staffing requires.

17.Travel to Patient Care Center/PIO sites as needed.

18.Ensure the following are completed:

a. Daily operation logs are filled out.

b. Ensure all batches are cleaned.

19.Assure that the department is safely performing at a high level of accuracy and productivity.

a. Work with the department trainer in monitoring errors for quality assurance.

b. Monitor workload and aid when needed during high volume times.

c. Review daily productivity and error rates reports and evaluate employee’s performance level. Help employees self-correct in a timely manner.

d. Coach and discipline staff when necessary to maintain appropriate QA and Productivity standards.

e. Assure that safety practices are followed at all times.

20.Keep Manager informed of any quality, productivity, TAT, or personnel issues.

21.Assist HR with performing on-boarding for new hires at remote PCC locations.

22.Where applicable, ensure all employees are trained and understand the expectations of performing and resulting CLIA waived tests.

a. Perform all CLIA waived testing performed at the site according to procedure.

b. Perform all necessary QC of reagents.

c. Review QC performance where applicable.

MINIMUM EDUCATION:

• High School diploma or equivalent.

MINIMUM EXPERIENCE:

• Five (5) years relevant experience in a clinical laboratory setting (including phlebotomy experience).

• Previous supervisory or leadership (i.e., Department Trainer) experience.

PREFERENCES:

• Experience in specimen processing and/or phlebotomy.
